What is the difference between private and shared contacts?

Contacts in Base can either be kept private or shared with the office.

Every contact captured in Base can be kept private or shared with the office:

Shared Contacts

When a contact has shared with the office checked ☑, that contact will be visible to office administrators and standard users (all data), but not to users marked with own data and view only.

Eligible users will be able to see, make notes or edit shared contacts depending on their user role configured under their profiles.

Private Contacts

Private contacts remain visible to office administrators and users with higher-level management roles, such as Group Administrators. Owners of private contacts will be able to edit, make notes and manage these contacts at any given time.

Contact Diary

Every contact has its own diary, allowing you to maintain a complete history of interactions and activities. You can record information such as:

  • Property viewings with the contact

  • Communication sent or received

  • Properties shared with the contact

  • Notes and other important interactions (all configurable by your office administrator)

For private contacts, only the owner of the contact can create diary entries.

For shared contacts, agents who have the appropriate access permissions can also add diary entries, ensuring that all relevant interactions are recorded while maintaining the correct level of access control.
