How to add a new contact to the Contacts Module.

A quick guide on how to add a new contact

  • Log into Base with your unique username and password.

  • Click on the contacts icon at the top right-hand corner of your screen.

  • Click on Add Contact

Adding a New Contact

A new screen will open where you can capture all the relevant information for the contact.

Contact Type

Select one or more Contact Types to categorise the contact. Examples include:

  • Buyer

  • Seller

  • Tenant

  • Landlord

  • Attorney

Using contact types helps you organise your database and makes it easier to create targeted contact segments for communication and marketing. Contact types or tags can be configured by your office administrator.

Contact Category

Choose whether the contact is an Individual or a Company. Individual contacts can later be linked to a company, allowing you to maintain relationships between people and the businesses they represent.

Share with the Office

Select Shared with the Office if you want other agents in your agency to have access to the contact.

When a contact is shared:

  • You remain the owner of the contact.

  • Other authorised agents can view the contact details.

  • Other agents can send communications to the contact.

  • Agents with the appropriate permissions can add diary notes to the contact's profile.

Save the Contact

Complete all required information on both pages of the contact form, then click Save to create the contact.

Note: A company that has been shared with the office is identified by the Office Shared icon on its profile.

An individual, not shared with the office will have a person icon, without the share icon i.e

Converting a Lead to a Contact

When you receive a lead in Base, you can quickly convert it into a contact without having to recapture the person's details.

After receiving the lead:

  1. Review the lead information.

  2. Contact the prospective client to discuss their enquiry and confirm their requirements.

  3. Decide whether to convert the lead into a contact or assign it to another agent.

To proceed, select one of the following options:

  • Convert Lead – Creates a new contact using the information captured in the lead, saving you time and eliminating duplicate data entry.

  • Reassign Lead – Transfers the lead to another agent within your agency for follow-up.

After you created the contact you can add requirements and tags to it.
